Automated order sync between Tradevine and GSM Tasks
The Challenge
Tradevine is a New Zealand warehousing and order management platform that e-commerce retailers use to track inventory, pick and pack orders, and dispatch shipments across multiple sales channels. Their customers were pushing dispatched orders into GSM Tasks for last-mile delivery routing, but the handoff between the two systems was entirely manual, with warehouse staff rekeying order numbers, addresses, contact details, and delivery instructions from one dashboard into the other.
As volume grew, two staff were spending a meaningful part of each day moving data between screens, and every rekeyed order carried the risk of a typo or a missing address detail. The goal was to connect the two platforms so orders flowed straight through without manual re-entry.
Our Solution
- Built a custom integration service in Node.
- js that listens for new dispatch-ready orders in Tradevine via webhook and creates the matching delivery job through the GSM Tasks REST API within seconds.
- Transformed each order payload into the GSM Tasks schema, deduplicated against existing jobs, and logged every transaction for audit.
- Added address validation to catch bad data before it reached the courier, plus retries with exponential backoff for resilience.
- Posted delivery status back into Tradevine so warehouse staff could track each order without logging into GSM Tasks.
- Routed sync failures to Slack so the team could act on any order that did not flow through.
